Working Location: Nilai, Negeri Sembilan

Working Days/Hours: Monday to Friday (0830 to 1730)

Salary: Basic range from RM 3,000 – 4,500 with statutory contribution + leave entitlement + medical coverage

 

Job Description Summary

Project Administrator assists project manage in all the daily administrative matters such as organize meetings, taking minutes of meeting, filling, managing office and site office supplies, scheduling appointments, managing and answering emails, managing database, etc.

 

Roles and Responsibility

  • Create Purchase Requisition (PR), perform Goods Received (GR) and Invoice Received (IR) using Powermax, Oscar, Pacman, Altais and coordinate until the PR has approved for next level of creation of Purchase Order (PO).
  • Receive and arrange parcels, letters, invoices, etc follow by segregation and distribute to the relevant receiver.
  • Manage and organize delivery via DHL/FedEx.
  • Managing the Plotter for print out of A0 & A1 drawings.
  • Management of Stationery, EHS Personal Protective Equipment (PPE) & Test Devices, etc.
  • Assist document controller to upload and download Drawings/Project Documents/O&M/As-Built documents from client’s online document management systems.
  • Managing achieved documents for all the past and current projects, Tenders, Sales, etc currently stored in supplier’s Warehouse.
  • Preparation of shipping documents, tracking and tracing of shipments.
  • Organise meeting venues, inform participants and assist in taking minutes of meeting.
  • Assist Project Manager in preparing presentation slides, tabulation of data in excel format, preparing draft letter and manage project filling.
  • Assist Site Team to request for payment for site related expenses such as electricity bill, water bill, sewage bill, telephone bill, etc.

 

Job Qualifications:

  • Sijil Pelajaran Malaysia (SPM) or Sijil Tinggi Pelajaran Malaysia (STPM) or Diploma in any discipline or equivalent from recognized institution.
  • Minimum 3 years of working experience as a Project Administrator.
  • Excellent organization, communication, problem-solving and people management skills.
  • Experience and exposure in any practical online document management software will be an added advantage.
  • Experience and exposure in project administrative works for substation project(s) will be an added advantage.
  • Proficiency in Microsoft Office Applications (Microsoft Words, Excel, Power Point, etc).
  • Preferred to have bilingual communication skill in both i. English and ii. Malay.
  • Candidate must be self-motivated and able to work independently with minimal supervision.
  • Able to work under pressure and tight deadlines.
